Morning Opening

Open the billing app and verify yesterday's closing balance

Check that yesterday's cash total was recorded correctly and matches the physical cash in hand.

Check and restock low-inventory items

Review items that are low in stock and note what needs to be reordered before the day's sales deplete them.

Verify that the billing printer or receipt printer is working

Do a test print if using a thermal printer. Ensure paper roll is loaded and not near the end.

Check pending customer dues from yesterday

Review which customers have outstanding amounts and if any follow-ups are needed today.

During Business Hours

Create a bill or invoice for every sale — no verbal-only transactions

Every sale should have a bill entry. This keeps your records accurate and avoids disputes with customers.

Record all credit sales in the khata immediately

Don't defer khata entries. Record credit sales as they happen so balances are always accurate.

Collect and record customer payments against dues

When a customer pays, update their khata immediately and give a receipt if requested.

Record any expenses paid during the day

Delivery charges, shop supplies, petty cash expenses — record them when they happen, not at end of day.

End of Day Closing

Check today's total sales and cash summary

Review the day's total sales, number of bills and cash/UPI collection in your billing app.

Match physical cash with the app's cash balance

Count the physical cash in the drawer and compare with the day's closing balance in the app. Investigate any discrepancy.

Add any pending purchase entries for stock received today

If stock arrived from suppliers, add purchase entries so inventory is updated before tomorrow's opening.

Back up or sync billing data if using a local system

If your software is not cloud-synced, take a manual backup at close of day to prevent data loss.

Weekly Billing Review

Review weekly sales report and compare to previous week

Check total sales, number of transactions and average bill value for the week. Note any unusual dips or spikes.

Send payment reminders to all customers with dues older than 7 days

Identify all outstanding amounts older than a week and send a polite WhatsApp reminder to each.

Review top-selling and slow-moving products

Look at which products sold most and which are sitting in inventory. Adjust purchase quantities accordingly.

Reconcile supplier payments against purchases made this week

Check all purchase entries against supplier invoices received. Verify amounts match before making payments.

Review weekly expenses and categorise any uncategorised items

Ensure all weekly expenses are properly categorised in your billing system for accurate reporting.

Check staff attendance records for the week

Verify attendance entries are complete for all staff members before the week closes.

Place purchase orders for items running low based on weekly sales velocity

Use weekly sales data to estimate what needs to be restocked before the next 7 days.

Monthly Closing & GST

Review monthly sales report and profit/loss summary

Check total monthly revenue, total expenses, gross profit and net profit. Compare with previous month.

Compile GST summary — total taxable sales, CGST, SGST collected

Export or note down the total GST collected this month by rate. This is needed for filing GSTR-1 and GSTR-3B.

Collect all purchase invoices and verify GST input credit

Match all purchase invoices against your recorded purchase entries. Calculate eligible Input Tax Credit (ITC).

Send firm payment reminders for all dues older than 30 days

Any customer balance outstanding for more than a month needs a firm follow-up call or message.

Reconcile cash and bank — match app totals with bank statement

Compare your billing app's recorded sales and bank deposits with your actual bank account statement for the month.

Process monthly staff payroll and record payment

Calculate salary for each staff member based on attendance, advances and deductions. Pay and record in the system.

Review top customers and their outstanding balances

Identify your highest-value customers and check if any of them have outstanding amounts that need attention.

Do a physical stock count for key products and reconcile with system

Count physical stock for your top 20–30 products and compare with your inventory system. Investigate mismatches.

Share monthly account summary with accountant or CA if applicable

Export reports and share with your accountant for bookkeeping, ITR filing or GST return filing.
